Travel Coordination Terms & Conditions

By submitting a travel request and/or purchasing a Travel Coordination Package through Atlas Custom Travels ("ACT"), you acknowledge and agree to the following Terms & Conditions.
1. Travel Coordination Services
Atlas Custom Travels serves as Odisea Football Management's preferred travel coordination partner for Spain travel programs.
ACT provides travel coordination services, including but not limited to:
• Flight research and recommendations
• Airline group booking coordination
• Travel reminders and communications
• Schedule change notifications
• Pre-departure support
• Travel documentation guidance
ACT is not acting as the airline and does not control airline schedules, pricing, availability, delays, cancellations, or operational decisions.
2. Optional Service
Participation in ACT's travel coordination services is completely optional.
Travelers may choose to book flights independently and are not required to use ACT to participate in any Odisea program.
3. Travel Coordination Fees
Travel Coordination Fees are separate from airline ticket costs.
Travel Coordination Fees cover the professional services provided by ACT and do not represent payment toward airfare.
Once travel coordination services have begun, Travel Coordination Fees are non-refundable.
Current package pricing is published on the Odisea Travel Portal and is subject to change for future programs.
4. Airfare Pricing & Availability
Airfare pricing is controlled entirely by the airline.
Flight prices are not guaranteed until tickets have been issued.
Quoted airfare may increase, decrease, or become unavailable prior to ticketing.
ACT is not responsible for airfare changes resulting from:
• Airline fare increases
• Delayed traveler responses
• Missed payment deadlines
• Changes in airline inventory
5. Airline Deposits & Final Payments
Certain group bookings may require airline deposits and/or scheduled payments.
Travelers are responsible for making all required payments by the deadlines communicated by ACT.
Failure to make payment by the applicable deadline may result in:
• Cancellation of reserved space
• Loss of airline deposits
• Increased airfare costs
• Inability to secure requested flights
ACT is not responsible for losses resulting from missed payment deadlines.
6. Name Accuracy & Passport Information
Travelers are responsible for providing accurate information.
Names submitted through the travel request form must exactly match the traveler's passport.
ACT is not responsible for fees, penalties, denied boarding, or ticket corrections resulting from inaccurate information provided by the traveler.
7. Flight Schedule Changes
Airlines may change schedules, aircraft, departure times, routing, or airport assignments at any time.
ACT will make reasonable efforts to communicate known schedule changes but is not responsible for airline operational changes.
8. Group Flight Coordination
ACT will make reasonable efforts to coordinate travelers on similar itineraries whenever possible.
However, ACT cannot guarantee that all travelers will be booked on the same flight, aircraft, or itinerary due to:
• Airline availability
• Different departure cities
• Booking dates
• Fare availability
• Traveler preferences
9. Switzerland Routing Request
At Odisea's request, ACT will make reasonable efforts to avoid itineraries involving layovers in Switzerland whenever suitable alternatives are available.
However, ACT cannot guarantee that every itinerary can avoid Switzerland and reserves the right to recommend the most practical routing based on availability and pricing.
10. Cancellations & Refunds
Travel Coordination Fees are non-refundable once services have begun.
Airline tickets are subject to the fare rules and cancellation policies established by the issuing airline.
Refund eligibility, credits, penalties, and change fees are determined solely by the airline.
ACT does not control airline refund policies.
11. Travel Documents
Travelers are responsible for ensuring they possess all required travel documents, including:
• Valid passport
• Visa (if applicable)
• Entry requirements
• Government-issued identification
• Any required travel authorizations
ACT is not responsible for denied boarding, denied entry, or travel disruptions resulting from insufficient documentation.
12. Limitation of Liability
Atlas Custom Travels acts solely as a travel coordinator and intermediary between travelers and travel suppliers.
ACT shall not be liable for:
• Airline cancellations
• Delays
• Missed connections
• Schedule changes
• Lost baggage
• Personal injury
• Travel interruptions
• Supplier bankruptcy
• Acts of God
• Weather events
• Government actions
• Any event beyond ACT's reasonable control
13. Communication & Response Times
ACT strives to respond to traveler inquiries within 48 business hours.
Response times may vary during weekends, holidays, and peak travel periods.
Travelers are responsible for monitoring their email and responding promptly to requests for information and payment.
14. Acceptance of Terms
By submitting a travel request form, paying a Travel Coordination Fee, or utilizing services provided by Atlas Custom Travels, the traveler acknowledges that they have read, understood, and agreed to these Terms & Conditions.
